Important Holiday Notice
Greetings! We write to inform you of changes to census scanning procedures in December due to a system upgrade and the holidays. Executive summary: for Dec 14-Dec 22, the system will be shut down and scanning in of receipts and out of scan outs will be done retroactively. For the holiday, Dec 24-Jan 1, the census will be held static at the census existing on Dec 23 and updated on Jan 2.
We are upgrading our Topaz Elements System that provides centralized animal tracking, clinical records, census and billing and it will be down for the next week. During this time, we will use manual processes to manage our veterinary clinical records and census will remain static with the animal inventory as recorded through today (Friday, 12/13/2024). No additions, reductions, or changes will occur with the census until we are back up which is anticipated to be Thursday 12/19/2024 but with extended contingency timeframe of up to Sunday 12/22/2024.
This should not impact you directly with the exception that we will not be able to produce cage labels during this time. We will retroactively scan out cage labels and receive animals into the system. Temporary cards will be established during this time period as is needed. We have been providing notifications regarding cage labels and animal orders which have been posted in the facilities and distributed via email or one-on-one to the research teams.
The second impact relates to our normal annual process changes for the holidays and winter recess. DAR will maintain all essential functions for our animals through the 12/24-1/1 time period, however, we close the Administrative offices during this time. No new animal orders, cage label requests, or census scans occur during this time. The final scan before the holidays will be on Monday 12/23/2024 and we will resume the scans on Thursday 1/2/2025.
- 12/12/2024 - final full facility scan before system taken off line
- 12/14/2024 - 12/19/2024 (up to 12/22/2024) System down - No scanning, no Animal Orders, no Cage Labels
- 12/24/2024 - 1/1/2025 System up and running for clinical cases. Census held static.
- 1/2/2025 - all normal processes resume. 'Reset' on census with full facility scan.
